Success Story

Relocating a business involves more than moving desks and equipment—it’s an opportunity to create a space that aligns with a company’s values and future aspirations. The Floorspace Workplace Solutions Team recently partnered with Perkins&Will—a global architecture and design firm known for creating healthy, sustainable, and equitable spaces—to support their move from Yaletown to a new location in Downtown Vancouver.

Perkins&Will’s New Vancouver Space

Floorspace’s Director of Workplace Solutions Eva Phung collaborated with Perkins&Will to manage the large-scale move to their new studio located at 1075 West Georgia Street. This project not only involved a physical relocation, but also transformed the 22nd floor of the iconic Arthur Erickson Place with a design that prioritized sustainability and honored the building’s classic architecture.

Coordinating for a Smooth Transition

Eva’s role extended beyond just logistics. She coordinated communications between stakeholders, while also managing a team of consultants. This ensured the smooth transition of critical infrastructure, minimizing any disruption to business operations.

Efficient Vendor Management

A light RFP process was conducted to procure movers, including site walks with potential vendors, quote comparisons, and a recommendation to the client. Eva worked closely with the client and vendor to refine the scope for IT equipment, the office relocation, and a complex decommissioning that required managing electricians and communication trades.

Ensuring Operational Continuity

Eva’s proactive collaboration with the internal IT team ensured the server equipment was onsite and in-service, and the office was operational on Day 1. Her regular communication with the office administration team kept all staff informed on what to expect throughout the process, leading up to and on the day of the move. By scheduling tasks, delegating roles, and being onsite before and during the move, Eva ensured a seamless transition.

Hands-On Leadership

Throughout the move, Eva was onsite to decommission the previous office, helping to identify materials that could be repurposed, and ensure the space was ready to handover back to the landlord.

The Value of Third-Party Move Management

Perkins&Will’s successful relocation highlights the benefits of engaging a third-party move management team. Eva’s expertise in vendor procurement, strategic facilities planning, and hands-on coordination not only minimized disruptions but also optimized the entire process. This allowed Perkins&Will to stay focused on their work, confident that every detail of the move was in expert hands.
